1. Overview

This Privacy Policy explains how DMV PRO ("we," "us," or "our") collects, uses, and protects information through DMV Pro (the "Service"). It applies at two levels:

  • Business Accounts — the auto registration businesses (like yours) that subscribe to and use DMV Pro.
  • End-Customer Data — the personal information business accounts enter into the Service about their own customers (name, phone, email, address, vehicle details) in order to create invoices and manage their business.

2. Our Role: Processor vs. Controller

For End-Customer Data, the business account (e.g., the auto registration business) is the data controller — they decide what customer information to collect and why. We act as a data processor, storing and processing that information solely on the business's behalf and instructions, to provide the Service.

For Business Account information (your business's own name, login, billing details), we act as the data controller.

3. Information We Collect

From Business Accounts:

  • Account information: name, email, business name, phone, address, logo.
  • Billing information: processed directly by Stripe, our payment processor — we do not store full credit card numbers on our own servers.
  • Usage data: pages visited, actions taken within the Service, log data such as IP address and browser type.

End-Customer Data (entered by business accounts):

  • Customer name, phone number, email, and address.
  • Vehicle information: plate number, VIN, make, and year.
  • Invoice and payment history related to that customer.

4. How We Use Information

  • To provide, operate, and maintain the Service, including generating invoices, reports, and renewal reminders.
  • To process subscription payments through Stripe.
  • To send renewal reminder emails to end customers, when this feature is enabled by the business account.
  • To communicate with business accounts about their account, updates, or support requests.
  • To monitor and improve the security, performance, and reliability of the Service.

We do not sell End-Customer Data or Business Account information to third parties, and we do not use End-Customer Data for our own marketing purposes.

5. Third-Party Services

We share limited data with the following third parties to operate the Service:

  • Stripe — processes subscription payments; receives billing information you provide directly.
  • Cloudflare — provides security, performance, and content delivery for the Service; may process technical/network data such as IP addresses.
  • NHTSA (National Highway Traffic Safety Administration) — when you use the optional VIN Lookup feature, the VIN you enter is sent to NHTSA's free public VIN decoding API to retrieve vehicle make/year information. No other customer data is sent.
  • Email delivery provider — used to send renewal reminders and account-related emails.

6. Data Retention

We retain Business Account and End-Customer Data for as long as the business account remains active, plus a reasonable period after cancellation to allow for data export or account reactivation. We may retain certain records longer where required by law (such as billing records).

7. Data Security

We use reasonable administrative, technical, and physical safeguards designed to protect the information stored in the Service, including encrypted connections (HTTPS/SSL) and access controls. No method of transmission or storage is 100% secure, and we cannot guarantee absolute security.

8. Your Rights & Choices

Business accounts can access, update, or delete Business Account information and End-Customer Data directly within the Service at any time. If you are an end customer of one of our business accounts and have questions about how your information is used, please contact that business directly, as they control what information is collected about you. Business accounts should direct any end-customer privacy requests they cannot resolve within the Service to [email protected].

9. Children's Privacy

The Service is intended for business use and is not directed at individuals under 18. We do not knowingly collect personal information from children.

10. Changes to This Policy

We may update this Privacy Policy from time to time. We will post the updated version on this page and update the "Last updated" date. Material changes will be communicated to business accounts by email or in-app notice where appropriate.
